Your Emails Are Too Long: Here's How to Fix ThemI recently received an email asking me a simple request. However, the email was three pages long. The whole message could have been three lines, but instead the author decided to write a short novella. Needless to say, I didn't read the whole thing. Nor did I respond. Are your emails going unread because they are too long?

Long Emails Don't Get Read

You may take email for granted. However, effective email communication is as much a skill as anything else. When used effectively, email can be a powerful tool. However, one of the top email inefficiencies is message length. One of the top reasons your email isn't getting read is because it is too long. Writing long emails doesn't mean you are getting more work done. As people are fighting to get their inbox to empty, the last thing they want to do is read a multi-page rambling email.

Keep Those Emails Short

Resist the urge to write long and drawn out messages. If you find yourself writing long responses, you probably should be having a conversation, not an email writing contest. The shorter and tighter your email messages, the better chance that they will be read, understood and acted upon.

Here are 10 Reasons That Your Emails Are Too Long

  1. You don't know what you are trying to say. It's like when someone calls you and says, "What's up?" Um, I don't know? you called me. Hold that email until you have something specific to say or ask.
  2. You don't know what you are talking about. This is similar to when people endlessly talk in meetings to cover up their lack of information. Writing more isn't going to cover up the fact that you are lacking knowledge. This practice occurs in many companies when individuals send emails to "appear" busy.
  3. Your signature is unnecessary. Your half-page signature doesn't need to be on all of your emails. Do you send emails with a 1 word response and then half of a page of signature? As well, please lose the attached graphic and cute quote.
  4. You are writing a book. Emails are not books. If there is additional information, attach supporting documents. If you are putting a large table in your email, you should stop and consider whether it should be in an attachment.
  5. You are spamming. This happens often in larger corporations. Employees feel the need to send each other lengthy updates of what they have been doing. And it's not just the remote employees. I used to get multi-page updates from a guy down the hall on his daily activities. Not needed.
  6. You are rambling. Don't write a 2-page email to ask a 1-line question. Be direct. Thanks.
  7. You are forwarding a mess. Instead of taking the time explain, you just forward your email stream. Ever get one of those, "See below..!" messages. Um, I don't want to read the 45 page back-and-forth that you participated in.
  8. It shouldn't be an email. Don't send an email when it should be a meeting. Or a phone call. Sometimes email isn't the right medium for your message. If it is taking more than a few lines to explain, then go talk to the person you need to communicate with.
  9. It should be multiple emails. Here is a good one. One boss combines all of the team items into one email. You may think this is an attempt at efficiency, however combining multiple emails into one doesn't work for everyone involved. And it creates great aftermath when people "Reply All."
  10. You don't edit your emails. After you write an email, you should edit it before sending. Besides the obvious spelling and grammatical errors, you should be editing for content, meaning, and conciseness. Another good thumb-rule: the number of times you should re-read an email before sending is equal to the number of people you are sending it to. (And yes, this rule scales.)

Make Sure Your Email Gets to the Point

In today's high-speed communication, no one wants to read overly long email messages. If your emails are brief and to the point, your recipients will be more likely to get the point. Remember that short and sweet will beat the 3-page email every time.

What benefits do you want to get out of reading an article?  Cater to your reader?s  interests rather than your own. 3. Offer lots of free, useful information. Following on the last tip, keep in mind that your readers are looking for specific how-to instructions to help them achieve a certain goal.  Offer lots of tangible information that is immediately useful to them. Do not lead them through hoops just to get to an order 4) Avoid gimmicks. While it may be true that a sucker is born every minute, most internet users are sophisticated enough to tell what?s legitimate and what?s not. Write with the intention of offering something substantial to the reader. Be honest and forthright. Your article should not cause the reader to think, What is this guy trying to sell me? 5) Be succinct. Get to the point quickly, preferably in the first or second paragraph. Avoid lengthy paragraphs. Use lots of white space to separate your paragraphs to make them easier to read. 6) Your article should not be too short. Certainly, it?s possible to write a good article packed with useful information using just a couple hundred words. If your article is too short, however, some webmasters may feel hesitant to reprint it on their sites. They may, instead, borrow your ideas and write their own articles, gaining authorship without having to give you credit for your ideas. How long should your article be?  I suggest at least 500 words, preferably longer.  Longer articles give webmasters the impression that you have put some time and effort into your work and, thus, are deserving of being reprinted on their sites. 7) Use live (clickable) links in your resource box. Many e-zines permit clickable links in  resource boxes. Yet, many authors forgo this privilege by simply spelling out their URLs. Whenever permitted, you should spell out your URL as well as make it clickable (e.g. http://www.nexcomp.com/weblaunch). The advantages of a clickable URL are, (1) readers can go to your site simply by clicking on it,  and more importantly, (2) search engines will be able to record the ezine page containing your article as a link your web site, adding to your link popularity and search engine rankings. 8) Avoid hyping in your resource box. Your resource box, while promotional in nature, should be brief and tasteful. The purpose of your resource box is not to sell your readers something, but to lead them to your website which does the actual selling. Your resource box should contain your name, your company name, a brief description of your products or services, your web site?s URL, and a clickable link to your site. 9) Put some thought and effort into your writing. E-zines have varying standards for accepting articles, and some accept and publish all submissions without any human review at all. However, this does not mean you should write an article just for sake of having it published somewhere. If your article comes off as half-baked, readers may make a similar assumption about you and your business practices

Hawaii ranked second with a monthly average payment of $1,536, and California was third at $1,446 a month. Both Hawaii?s and California?s payments represented 30 percent of household income. D.C. also had the highest loan amount at $331,886. In the survey, 15 of the 51? areas studied have an average monthly payment above $1,000. At $711 a month, Nebraska had the lowest mortgage payment, followed by Arkansas, Iowa, Oklahoma and Missouri.

East Asia faces unique challenges, opportunities for stem cell innovation

ScienceDaily (Nov. 27, 2012) ? Tension is the theme running through the new consensus statement issued by the Hinxton Group, an international working group on stem cell research and regulation. Specifically, tension between intellectual property policies and scientific norms of free exchange, but also between eastern and western cultures, national and international interests, and privatized vs. nationalized health care systems.

The consensus, titled Statement on Data and Materials Sharing and Intellectual Property in Pluripotent Stem Cell Science in Japan and China, was released on the Hinxton Group's website on November 19, 2012.

"China and Japan are among the world's leading nations in stem cell research, but because of challenges distinct from western nations, they are dramatically underrepresented in terms of patents and licensing," says Debra Mathews, PhD, MA, assistant director of Science Programs at the Johns Hopkins Berman Institute of Bioethics and a founding member of the Hinxton Group. Mathews was one of 22 co-signers of the consensus statement.

"We thought it was crucial, with the science advancing incredibly rapidly, and as intellectual property policies evolve in East Asia, to examine our 2010 global recommendations for proprietary issues in stem cell research in that regional context," Mathews says.

Strengthening national stem cell innovation was the top goal articulated in Kobe, the statement says. Whereas in the West there is a robust and mature infrastructure for encouraging and supporting the development of intellectual property rights such as patents, East Asian nations like China and Japan have comparatively less well-developed, younger systems, the group observes. While this can make it more difficult to bring new inventions to international markets, the statement says, the opportunities created by the regional environment in Japan and China provide valuable lessons for the global development of this field.

"For example, as noted in the statement, Japan and China each have a large and highly qualified scientific workforce, paired with substantial national investment in stem cell research," says Mathews. "This combination of factors means that both countries are well-situated to take the kinds of collective action that will be required to move the field forward efficiently and translate basic science discoveries into products and therapies."

An area where Japan and China exercise strong state control to the possible benefit of stem cell-based invention is their national health care systems, the statement notes. In the West, strong intellectual property rights have encouraged the "development of stand-alone blockbuster products," the group says, whereas the national health systems in East Asia may allow patients access to more individualized, innovative treatments. This, the group posits, could be a model for stem cell-based therapies.

"Innovation in China and Japan occurs in the context of national commitments to public health, and as a practical matter that should make access to cell-based therapies more equitable," Mathews says.

The statement also notes the significant cultural differences that contribute to challenges -- and opportunities -- with intellectual property policy, practice and stem cell research in the region. The group notes that Japan and China are "markedly less litigious" than western nations, and recognition for scientific work and publication priority are highly valued. "Secrecy appears to be a relatively more common mode of protecting researchers' raw [intellectual property rights], as opposed to more formalized legal systems of protection, such as patenting," the statement says. In light of this, an appropriate incentive to sharing data and materials among scientists in the region would be the protection of their interests and rights, perhaps through a grace or priority period, the group says, during which the data is public but the original scientists have exclusive rights to publish.

The statement also discusses the challenges of sharing data and materials internationally, noting an "underlying tension between national and international interests." In China, for example, samples donated by citizens are considered intellectual property of the state and are governed by strict polices that create roadblocks to international sharing and access. Such policies, varying country by country, may present significant challenges to the Hinxton Group's goal of creating an internationally coordinated stem cell bank, the statement says.

"There will always be tensions between national and international and between public and private," as far as innovation and the protection of that innovation, the group says. "Within the biomedical sciences, the key is to strike a balance that both promotes innovation and improves global health," the statement concludes.

Syrians risk lives in battle to protect ancient sites

Updated at 9:15 a.m. ET:?Even as civil war tears the nation apart, it seems Syrians can agree about one thing: The need to protect the country?s antiquities and World Heritage Sites that represent thousands of years of human history.

Rebel fighters and ordinary citizens are risking their lives to document the damage being done to Syria?s ancient?treasures and museums, according to Western monitors.

Now Bashar Assad's regime has joined in. Maamoun Abdul-Karim, director general of antiquities and museums, has launched a campaign, called "MySyria,"?(in Arabic) asking communities to help protect the nation?s cultural heritage from the civil strife.

All six World Heritage Sites have now suffered damage as the conflict widens, according to Emma Cunliffe, a volunteer monitor for the non-profit Global Heritage Fund.

One of oldest cities
Destruction includes heavy looting of temples and tombs in the trade city of Palmyra and a devastating fire in the medieval souk in Aleppo, one of the oldest continuously inhabited cities in human history.

World heritage body UNESCO?has led the outpouring of international concern.?Aleppo dates back to the 10th century B.C. and the present city is deemed to have "Outstanding Universal Value," by UNESCO.

"Pictures and video evidence gathered by people on the ground shows the extent of the damage and prove that none of these sites are now safe from the conflict," said Cunliffe, a postgraduate student at Britain's Durham University.

'Emergency red list' targets Syria's looted treasures

Looting, which led to the theft of many of Iraq's national treasures during the conflict that deposed Saddam Hussein, is also a risk in Syria.

"Large gangs of men turned up at Iraqi sites, totally overwhelming the protection, and looted on a vast scale. If that starts to happen in Syria there will be problems because there's little that can be done about it,? Cunliffe said.

She said each side in the conflict blamed the other for damage to ancient buildings, but it was not easy to verify the claims.

Cunliffe said many people in Syria made films showing the damage being done to ancient sites.

She said that one man ?who uploaded most of the videos of the damage to the citadel of Qal'at al-Madiq in January to April stopped uploading when the government took the citadel/village in April. I have assumed the worst.?

Even though you know the odds of winning the Powerball jackpot aren't good, you probably bought a ticket (or a few dozen of them) anyway.

But just how bad are the odds of any single ticket winning the big prize??1 in 175,223,510, to be precise -- less than the odds of someone?becoming president of the United States or being born with an extra finger or toe.

Here are 11 things -- some good, some not so good -- more likely to happen than your numbers coming up gold:

1. The next time you rush across the street as the light is about to change, keep in mind it's much likelier you'll die as a pedestrian than win the jackpot: 1 in 701, according to the National Safety Council.?

(AP) ? The person behind one of the country's fastest-growing animal rescues can't even vote yet. And neither can most of the people leading its 10 chapters across the nation.

Lou Wegner, a 16-year-old actor and singer from Columbus, Ohio, started Kids Against Animal Cruelty when he was 14. The organization, which uses social networking to encourage adoptions at high-kill animal shelters, has helped 20,000 pets escape euthanasia in two years.

Lou said he became aware of euthanasia at shelters when he went to Los Angeles to make the short film "Be Good to Eddie Lee." The director suggested that he volunteer at an animal shelter.

Until then, Lou thought shelters were safe havens for strays and lost pets. "It was heartbreaking. All these dogs crying in their cages. Knowing they would be put down broke my heart," he said.

The group started with Lou and his friends, carrying signs on street corners, and a Facebook page with 47 friends. Now it has more than 12,000 U.S. members and 50,000 members, supporters and partner coalitions across the globe, he said.

The group gets a boost whenever Lou hits the red carpet or the airwaves. He had a small role in Clint Eastwood's "Trouble With the Curve," just finished a pilot called "The Thundermans" for Nickelodeon, and co-hosts a weekly Global Voice Broadcasting radio show called "Love That Dog Hollywood! Kids & Animals."

Brenda Barnette, the general manager of the Los Angeles Department of Animal Services who has been on the show, said Lou is "a well-spoken advocate for animals and for peer involvement." At events where he'll be photographed or when the paparazzi are lurking, he's seldom without a T-shirt with a Kids Against Animal Cruelty logo, she said.

With that kind of exposure, the group's goal has become global ? getting people to adopt from shelters, to spay and neuter pets, and educating them about pet responsibility, Lou said. He advocates a no-kill policy, and hopes adults will join in because "they know so much more than we do."

The growing popularity of the teen, who is also a member of the pop band Blonde, helped save a shelter dog that might have otherwise been euthanized. Tommy Joe, an 11-month-old black Lab in South Carolina, wasn't too popular when his photo was posted on the group's Facebook page. Lou said the post garnered no likes or comments.

He recalled that the dog "was skinny and he looked sad. I thought he was doomed." So he posted online messages to the dog, drawing attention to its case and leading a group called For the Love of Dogs in Chester, S.C., to save Tommy Joe.

KAAC chapters around the country are run by teens, including a pair of sisters in New York City who worked with several groups to find lost animals and get food to people whose pets were starving in the aftermath of Superstorm Sandy. An Arizona chapter is run by one of Lou's nephews, and a cousin heads the Minnesota chapter.

Lou hopes to have a chapter in every state eventually, "because the bigger the group you work with, the bigger difference you can make."

"They euthanize just as many animals every day as we have saved. It's like throwing a Band-Aid in a river," he said.

He said there's also the need to educate children who commit cruelty to animals, as in the recent cases of a 12-year-old California boy arrested after police said he got mad at his family's dog and hung it on a door handle. In Las Vegas, police say two 11-year-olds threw rocks at a cat giving birth, killing her six kittens. Lou said he would make those children witness what happens in the euthanasia room at a shelter.

Robin Harmon, who runs a small dog transport program for Best Friends Animal Society Los Angeles and met Lou at a shelter, said she "was especially impressed that at a young age, he could control his feelings and the sadness that we all feel when we are helping at high-kill shelters."

"I have barely been able to do this and I am old enough to be Lou's grandmother," she said.

The sadness is hard to deal with, Lou agreed.

"Saving one keeps you going," he said.

On Monday, the Supreme Court ordered a lower court to decide on a case involving a clash between religious liberty and Obamacare. Government must tread lightly in defining religion as a way to achieve universal health care and increase access to contraceptives.

On Monday, the Supreme Court ordered a lower court to take up a complaint by Liberty University of Virginia that contends Obamacare, or the Affordable Care Act, overreaches in mandating religious-based employers must have a role in providing contraceptive services in employee health insurance.

On Monday, the Supreme Court signaled it might again reconsider the constitutionality of the Affordable Care Act (aka Obamacare). It ordered a lower court to weigh the law?s mandate on employers to support health insurance ? including coverage of contraceptive services ? for workers.

Last June, the high court upheld the law?s ?tax? on individuals who refuse to buy health insurance. Now it wants a court to consider a complaint from Liberty University of Virginia that the mandate on employers violates religious freedom by requiring employers to have a role in funding health services such as abortion-inducing drugs.

This case is only one of more than 40 similar challenges to the law making their way through the federal courts. Any one of them could result in a Supreme Court ruling next year, potentially upsetting the law?s goal of providing universal health care.

While the abortion issue drives most of the suits, the heart of the legal arguments concerns the Obama administration?s attempt to define religion and to do it so narrowly as to give that definition authority over almost all employees.

The administration defines a ?religious employer? as an institution focused solely on worship; that aims to inculcate values as its main purpose; that hires primarily persons of the same faith; and that serves primarily persons of the same faith. Opponents of this straitjacket definition rightly counter that even Jesus and his healing activities would not be seen as religious.

In its 5-to-4 ruling last June upholding much of the law, the court warned that the act must still meet other requirements in the Constitution. Four liberal justices even cited the need for the law not to interfere with ?the free exercise of religion.?

And indeed, on Nov. 16 a federal judge sided with a Christian publisher, Tyndale House, granting it a temporary injunction against the Department of Health and Human Services in its enforcement of the mandate to cover abortifacients in the company?s health plan.

The Obama administration argued that the Christian business is not ?religious enough? to be given an exemption. The judge, however, found that ?the beliefs of Tyndale and its owners are indistinguishable.... Christian principles, prayer, and activities are pervasive at Tyndale, and the company?s ownership structure is designed to ensure that it never strays from its faith-oriented mission.?

The court?s action follows a similar court injunction in July that temporarily protected a Colorado-based business, Hercules Industries, whose Roman Catholic owners don?t want to implement the mandate for their employees if it includes support of abortion services. Another court, however, ruled Nov. 19 that the Hobby Lobby company, run by evangelical Christians along Christian values, is not entitled to protection in its desire to avoid coverage of abortifacient contraceptives for its 15,000 workers.

Clearly the Supreme Court will need to sort out these competing rulings. Defining the line between religious institutions and religious-based employers is not a task left to the executive branch. Nor is defining religion itself.

Many churches fulfill their religious mission by hiring outside the faith and in ministering to others. Their work is not limited to worship confined only to the faithful. Many religious institutions, from schools to homeless shelters, find their purpose in working with members outside their community.

Under current law, for the government to control religious believers would require it to have a compelling state interest and that there are no alternatives to its goals. But that is not the case with health insurance or contraceptive services. The administration admits as much in providing exemptions to churches that fit its definition of ?religious employer.?

The Supreme Court has long prevented government officials from trying to make religious determinations. ?If there is any fixed star in our constitutional constellation,? wrote Justice Robert Jackson in a 1943 decision, ?it is that no official ... can prescribe what shall be orthodox in politics, nationalism, religion, or other matters of opinion or force citizens to confess by word or act their faith therein.?

The dictates of government need not conflict with the demands of faiths. Either the courts or Congress needs to make that a reality before the health-care law takes full effect in 2014.

Security Experts Blast iPad Hacker's 'Chilling' Conviction

Computer-security experts worldwide took to Twitter and the Web last night (Nov. 20) to denounce the conviction of famed troll and hacker Andrew "Weev" Auernheimer.

Today, several of those experts spoke to TechNewsDaily to explain why the guilty verdict endangers all computer-security researchers.

Auernheimer was convicted of violating the federal Computer Fraud and Abuse Act (CFAA) after he and friend David "JacksonBrowne" Spitler ? part of a group calling itself Goatse Security or Goatsec ? ran an automated script that "slurped" email addresses of iPad owners from an unprotected AT&T server.

Both men were indicted, but Spitler later took a plea deal and agreed to testify against Auernheimer.

To policy and tech experts, the verdict is puzzling because Auernheimer didn't write the script or compile the data. Nor did he publish the compiled email addresses. Instead, he reported the security flaw to the media.

"This decision, if it stands, affects everyone who ever discovered a security flaw," wrote security researcher Alex Pilosov last night on TwitLonger. "If security research is forced underground because of chilling effect of possible prosecution ? we will all suffer."

"Running a script is not a crime," tweeted digital-rights lawyer and Stanford professor Jennifer Granick following the verdict. "Exceeding authorized access is, but the AT&T site was coded to spill data."

"Andrew is a troll and he did something stupid, and to be frank, irresponsible," wrote F-Secure researcher Sean Sullivan in a blog posting today. "But does he deserve up to 10 years in federal prison for slurping e-mail addresses that were never even made public?"

Loose language

The implications of the jury's verdict are broad. The Computer Fraud and Abuse Act of 1986 makes it illegal to "access a computer without authorization or exceed authorized access from [a] protected computer."

As Auernheimer pointed out yesterday, that could be construed to include most computer-based communication in 2012.

"Around 1993, the Web happened, and people started clicking on URL links, accessing computers with reckless abandon, without caring if their access was authorized or not," said Robert Graham, co-founder of Atlanta-based Errata Security. "That has led to the dangerous situation where 'authorized access' is interpreted arbitrarily, such as in this case to prosecute Weev."

The ambiguity of the law coupled with yesterday's verdict, Graham said, means that "any of us can be properly convicted."

Jeremiah Grossman, founder and chief technology officer of Santa Clara, Calif.'s White Hat Security, agreed.

"Cases like this have a chilling effect with respect to vulnerability disclosure, which by extension puts people at risk," Grossman said.

The verdict makes it "less likely that security researchers will risk disclosing vulnerabilities," Graham said. "That's especially true when challenging and embarrassing the powerful."

As Grossman understands it, simply making a complaint under the CFAA seems to be enough to put a computer hacker behind bars.

"Should a website owner complain that you did something 'illegal' to their website, and a prosecutor decides to take up the case, then that's all that seems is necessary to get a conviction ? or least a plea," Grossman said.

"That's why I tell everyone that you never, ever, ever test a website for security vulnerabilities unless you have expressed written consent. Period."

Immediately after his conviction, Auernheimer said jurors' technical illiteracy might have been partly responsible for the verdict.

Gabriella Coleman, an anthropologist and professor at McGill University in Montreal who studies hacker culture, agreed.

"I do wonder if the jury was able to have a real clear understanding of what was going on," Coleman said. "It's so vaguely worded that even if you do have a sense of what's going on, it could seem like unlawful access."

Principled or personal?

Many people who've dealt with Auernheimer might agree that he can be annoying, obnoxious and offensive, at least online. But being a pest isn't a crime, as perhaps even AT&T came to recognize.

After the telecommunications giant determined that its security had not been breached and that no private data had been stolen or exposed, it lost interest in Weev.

But Auernheimer trolled and pranked FBI agents and members of the prosecution, Coleman said. He became more than just another case. The matter had become personal.

Still, Coleman said, "In the end, you have to follow the dictum of the law, not the person involved. Weev is kind of an extreme example."

Graham Cluley, senior technology consultant at the British anti-virus firm Sophos, also detects an ulterior motive on the government's part.

"AT&T didn't press charges, so it wasn't clear to me what the benefit of a prosecution would be," Cluley said. "One has to wonder whether, in the absence of any obvious criminal harm, Spitler and Auernheimer were being made something of an example of, against a background of heightened hacktivist activity."

Perception may have played a role, according to Coleman.

"If this had come from an individual who perhaps worked for a security [company], who held a 9-to-5 job, who wasn't an Internet troll, who wasn't part of an extremely infamous group ? it's possible that person wouldn't have been found guilty," she said.

Trolling for truth?

Today, Auernheimer is a convicted criminal. But many see him and others like him as whistle-blowers who, even if they do so obnoxiously, provide an invaluable public service by highlighting security vulnerabilities and forcing companies to better protect their customers.

"One thing the indictment makes clear is that Auernheimer's goal was to hurt the reputation of AT&T ? as if that were a bad thing," Graham said. "That's supposed to be a good thing.

"When companies behave improperly and expose customer information, our goal rightly should be to point that out, bringing their reputation in line with reality."

"I'm no fan of Weev," wrote Immunity Inc. founder and chief executive officer Dave Aitel in a blog posting today. "[But] it's obvious to anyone with any technical background that the case the FBI brought against him is a travesty, and the fact that they won is even more insane."

AP: FL man choked to death in roach-eating contest

(AP) ? A Florida man choked to death after downing dozens of live roaches during a contest earlier this year in which the grand prize was a python, according to an autopsy released Monday.

Edward Archbold, 32, of West Palm Beach died as a result of "asphyxia due to choking and aspiration of gastric contents," according to the report released by the Broward County medical examiner's office. It said his airway was obstructed by the roach body parts, which caused him to not be able to breathe.

Lab tests for drugs came back negative. The death has been ruled an accident.

Archbold died after downing the bugs as well as worms in the Oct. 6 contest at Ben Siegel Reptile Store in Deerfield Beach, about 40 miles north of Miami.

Messages left with the store's owner and his attorney were not immediately returned.

Archbold became ill shortly after the contest and collapsed in front of the store. He was taken to the hospital where he was pronounced dead.

About 30 people ate the insects, but authorities said none of the other contestants became ill.
